Recruitment Specialist Coordinator

We are looking for a detail-oriented and proactive Recruitment Specialist Coordinator to support hiring across our Architecture, Engineering, and Construction functions. The role will involve coordinating end-to-end recruitment activities, working closely with hiring managers, scheduling interviews, maintaining candidate pipelines, and ensuring a smooth candidate experience.

The ideal candidate should have strong communication skills, excellent coordination abilities, and prior experience supporting recruitment in the AEC, infrastructure, construction, real estate, or engineering services industry.

• Coordinate the recruitment process for roles across architecture, civil engineering, MEP, structural, project management, BIM, and design.
• Work closely with recruiting team to understand manpower requirements, job specifications, timelines, and priority positions.
• Post job openings on job portals, company career pages, LinkedIn, and other relevant hiring platforms.
• Source and screen candidates through job portals, referrals, databases, LinkedIn, recruitment agencies, and industry networks.
• Schedule interviews with candidates, hiring managers, technical panels, and senior leadership.
• Ensure timely communication with candidates regarding interview schedules, feedback, next steps, and documentation.
• Maintain recruitment trackers, candidate databases, interview feedback records, and hiring status reports.
• Coordinate with candidates for resumes, portfolios, certificates, salary details, notice period information, and other required documents.
• Support offer coordination, salary discussions, approval processes, offer letter release, and joining formalities.
• Ensure a positive candidate experience throughout the recruitment cycle.
• Assist in campus hiring, walk-in drives, employee referral programs, and vendor coordination.
• Liaise with recruitment consultants and staffing partners for niche and urgent requirements.
• Support onboarding coordination by working with HR operations, admin, IT, and project teams.
• Prepare regular recruitment dashboards and reports for HR and business leadership.
• Maintain confidentiality of candidate and company information at all times.
• Assist in creating and updating Job Descriptions and securing required approvals.
• Support candidate communication and follow-ups during the offer to hire stage.

• Bachelor’s or Associates degree in Human Resources, Business Administration, Psychology, Commerce, or a related field.
• 1–4 years of experience in recruitment coordination, talent acquisition, or HR coordination.
• Experience in the AEC, construction, infrastructure, real estate, engineering consulting, or design industry is preferred.
• Familiarity with hiring for technical roles such as Architects, Civil Engineers, Structural Engineers, MEP Engineers, BIM Modelers, Project Managers, and Designers
• Good understanding of recruitment workflows, interview coordination, offer process, and candidate documentation.
• Strong verbal and written communication skills.
• Excellent coordination, follow-up, and stakeholder management abilities.

• Ability to manage multiple hiring requirements simultaneously.
• Good knowledge of job portals such as Naukri, LinkedIn, Indeed, and other sourcing platforms.
• Proficiency in MS Excel, Google Sheets, MS Office, and applicant tracking systems.
• High attention to detail and accuracy in maintaining records.
• Professional approach when dealing with candidates and internal stakeholders.
• Ability to work in a fast-paced, deadline-driven environment.
• Strong organizational and time management skills.
• Basic understanding of salary structures, notice periods, and recruitment documentation in India.
